How to Change Pre Hire to On Hire

Instructions on how to action a Pre Hire to On Hire.

Note: You will require the "Edit Asset Hire" permissions.

Assigning an Asset to a Pre Hire

VIPER Metrics will outline the Action Items required to On Hire your outgoing Asset(s).

All outstanding action items will be highlighted in yellow.

Begin by assigning the Asset.

Select the Asset that will be assigned.

Note: VIPER will flag any Assets that may overlap with the intended on and off hire dates.

Save the selected Asset to continue.

Next, confirm you want to assign the Asset to the Hire.

Linking a Signed Hire Document

Select the below icon.

You will be given the option to link to an existing document or to upload a new document, select the one that is relevant.

If you are uploading a new document, please refer to the below article.

On Hire Inspection

Select the below icon.

You will be given the option to link to an existing Inspection, or to upload a new document, select the one that is relevant.

If you are linking to a completed digital Inspection, select the below.

Edit the date range to the date the digital Inspection was created, and ensure "ON / OFF HIRE INSPECTION" is chosen for the inspection type.

Select the relevant digital Inspection and save.

Change Pre Hire to On Hire

There are two ways in which you can update the hire status from PRE HIRE to ON HIRE.

The first, is by confirming the On Hire date.

Note: VIPER will not automatically change the status to On Hire. This is due to the frequency at which Projects may be delayed or brought forward.

Select the currently set On Hire Date.

If the On Hire date has changed, update the listed date by selecting the calendar icon.

If the On Hire date has remained the same, confirm the chosen dates.

If the Hire date has already passed, the below popup will appear, select "OK".

A popup will appear asking if you would like to Update Projects for this Asset, select "OK" to do so, otherwise select "Cancel".

The second option is to select "PRE HIRE" button directly.

Next, select "ON HIRE"

If the hire has passed the original On Hire date, you will have the option to update with the following pop-up. Once updated, select the tick to confirm.

A pop-up will appear to ensure you have the correct dates, select "OK" to save dates.

Click "OK" to confirm the On Hire of the Asset.

Next, you will be asked if you would like to update the Asset's Project, select the relevant answer.

The Hire status has now updated to "ON HIRE"
