Capturing downtime of an Asset is crucial when it comes to tracking Asset Availability, Utilisation, and End of Month Invoicing. In VIPER Metrics, you are able to capture the type of downtime, how long the Asset as been down for, as well as the stand down percentage.
Note: You will require the "Edit Events" permission.
To Create an Event from the Asset Register
To Create an Event from the Asset Register
Select “Available” under the “Asset Status” column.
A prompt will appear asking if you would like to tag this Asset as "Out of Service" by creating an Event, select "OK" if this is the case.
Begin by adding in the Event title.
Tip: This should be why the Asset has been taken Out of Service, not what is being done to the machine as this should be recorded in Defects or Scheduled Tasks.
Some examples: 500 Hour Service, Gear shift fault, Wet Weather Standdown etc.
Next, select the "Event Type".
"Out of Service" will most likely be related to services, breakdowns or repairs.
"Contract Stand Down" may be related to site shutdowns, change of site location or Contractual events that require the asset to be stood down etc.
If the Asset is "OUT OF SERVICE", select the out of service type.
If you are creating the Event as the Asset has gone down, select "START NOW" and VIPER will automatically add in the current date and time.
If you are creating the Event after it has already gone down, enter in both the time and date by selecting the calendar icon.
Select "APPLY" once entered.
Tip: Add in the known time the Asset went down, as this will affect the Availability and how much you may be charged by a supplier or how much you are able to charge a client.
Next, select the Asset the Event is related to.
If the Asset is on Hire, an information popup will appear.
To automatically send an ENF email to a supplier, ensure this checkbox is ticked.
The emails entered at the time of creating the incoming hire, will appear as
recipients. However, additional recipients can be added.

Next, enter the SMU Reading at the time of the Event. VIPER will display the most recent known SMU reading as a prompt, however you are able to manually enter this information.
Enter in the Stand Down Percentage. If this is at 100% stand down, the Asset will be charged at 0% of the normal rate. If this is entered as 0%, the Asset will be charged at the normal full rate.
Next, upload any Documents that may be relevant to the Event. These may be photos, downtime reports etc.
Select the tick to save the open Event.
A prompt will appear to ensure you are wanting to create an Open Event, select "OK" if this is the case.
To Create an Event from the Asset Card

Select the Event Tab on the Asset Card, all the current Events for this Asset alone
will be loaded.
Begin by adding in the Event title.

You will likely create an Event from a Defect when it is a Category 1.

Select “Add New Event” in the Hire Section of an Asset on the Hire Register.

Begin by navigating to the Events page. This is located under the "MAINTENANCE" drop down in the menu bar.
A list of existing open Events will appear once the page has loaded.
To create a new event, select "+ EVENT"
Begin by adding in the Event title.

Enter in both the time and date the Asset has returned to work by selecting the calendar icon.
Select "APPLY" once entered.
VIPER will then calculate the amount of time the Asset has been down.
To close, scroll to the bottom and select the tick.
This Event will now disappear from the main Events page. If you wish to view this at a later date, change the filter to "SHOW CLOSED".
