How to Create a Hire Quote

Instructions on how to enter a Hire Quote into VIPER Metrics.

Note: You will require the "Edit Asset Hire" permission

VIPER Metrics tracks the end to end process of Asset Hires. The initial step to the Hire, is creating a Quote.

Navigate to the "Asset Hire" tab on the menu and select the dropdown.

Select "HIRE REGISTER"

Select the "+ NEW HIRE QUOTE" button on the top right hand side of the screen.

Select whether the Assets are incoming from a supplier or outgoing to a client.

Outgoing

Supplier = Your Company

Client = Company renting the equipment

Incoming:

Supplier = Who you are hiring from

Client = Your Company

For this example we will assume this Hire is an Outgoing Hire.

If they are not currently a Client of your company, select the "+ NEW CLIENT" and "NEW CLIENT CONTACT". Complete the text fields.

Next, enter the email you wish SMU and Maintenance notifications to go to. This will appear on the Hire to ensure the correct person will be contacted.

NOTE: Notifications are not enabled, this is to indicate the correct contact email.

Type in the Job Site the Hire will be taking place, hit enter to save as a Search Tag. VIPER also gives you the option to create any further Search Tags you wish the Hire to be searchable by, "Shift Type: Double Shift" for example.

If your Quote will have multiple Assets with the same On Hire Date, Duration, Hire Type, and Min Units per Month/Day, enter information into the grey box. This will set the information as a default and will be applied to all rows added.

If each row will have different specifics, leave this section blank.

To add in the first Quote row, select "+ ADD NEW ROW"

Adjust the quantity of this line item but selecting the +/- buttons, or highlight the number 1 and type in the desired quantity.

Select the dropdown to choose the Asset Type this row is related to.

Next, enter the Asset Details in the "Details" text field.

To select the On Hire Date, select the calendar icon.

Choose the On Hire Date and time, select "APPLY"

Tip: It is best practice to add an On Hire time, as this will ensure you can charge your Client or Supplier to the minute.

When entering the duration, you can add it by Days, Weeks, Months or Years. Simply select the drop down and type the number into the text field.

Once entered, VIPER will automatically calculate the Off Hire Date.

Next, select the "Invoicing Period End" from the dropdown, this can be by Calendar month, or by Operating Month. If invoiced by Operating Month, select the invoicing end date from the dropdown, this is normally the 25th.

If the hire has a Minor Repairs Cap, enter this in the next section. This is not a Mandatory field.

NOTE: Minor Repairs Caps do not currently reflect anywhere else in VIPER other than on the Hire Register.

If there are any additional charges related to this Hire, add them into the "Miscellaneous Hire Charges". Examples of Misc. Charges may be, Operators for wet hires or Environmental Levy Charges.

NOTE: Miscellaneous Hire Charges pull through to the End of Month.

Next, select the Hire Type by clicking on the dropdown.

When entering in the chargeable Rate and Units, the units can be selected by Hour, Day, Week or Month.

Select the drop down and type the number into the text field.

Type the minimum units per month.

Note: if you select a unit other than "HOUR", VIPER will automatically calculate the minimum units per month, or provide an information popup. See example below.

If you know the mobilisation costs and whether the Client/Supplier will carry this, untick the "Mob. not quoted" and enter in dollar value.

If mobilisation is unknown or not carried by the Client, keep this box selected.

Select the tick at the bottom right hand corner to save the row.

Your first row will now appear as the below.

Continue to add new rows until all Quoted equipment is listed.

To save, select the tick at the bottom right hand corner. A prompt will appear asking to confirm, select "OK" to continue.

The below popup will appear to create a Prefill Quote Template which you can email to your Client.

Select "YES" to download.

Note: Please reach out to VIPER Metrics to set up a template if this is the first time utilising this feature.

Your Quote will now appear as a line item in the Hire Register.

To see more information, select the down facing arrow next to the hire number.
